Terms of Use

These terms govern your access to and use of MediCRM, a healthcare CRM owned and operated by Bhatti Medtech Private Limited. They apply to the MediCRM web application, the public clinic pages it hosts, and this website. Please read them together with our Privacy Policy.

Effective: 17 October 2026Last updated: 17 October 2026Applies to: themedicrm.com, medicrm.in and all MediCRM products

1. Acceptance of these terms

By creating a workspace, signing in, or otherwise using MediCRM, you agree to these terms. If you use MediCRM on behalf of a clinic or other organisation, you confirm that you are authorised to accept these terms for it, and “you” refers to that organisation as well as to you.

Where a clinic has signed a separate subscription agreement or order form with us, that agreement prevails over these terms to the extent they conflict.

2. Definitions

  • “We”, “us”, “MediCRM”, “The MediCRM” — Bhatti Medtech Private Limited (CIN U62011PB2026PTC070041), a company incorporated in India with its registered office at 652, Sunny Enclave, Sector 124, Kharar, SAS Nagar, Punjab, India, the owner and operator of The MediCRM and themedicrm.com.
  • “Clinic” or “Customer” — the clinic, practice, or healthcare business that subscribes to MediCRM and owns a workspace.
  • “Authorised user” — a doctor, receptionist, or other staff member given access to a workspace by the Clinic.
  • “Customer data” — information entered into a workspace by the Clinic or its authorised users, including patient records.
  • “Service” — the MediCRM application, its features and modules, hosted clinic pages, and related support.

3. The service

MediCRM is software for running a clinic: patient records, the OPD queue, consultation notes, prescriptions, billing, inventory, staff, attendance, payroll, and reporting. Which modules are available to a workspace depends on the Clinic’s plan. We provide the Service on a subscription basis and grant the Clinic a limited, non-exclusive, non-transferable right to use it for its internal business purposes during the subscription term.

4. Accounts & eligibility

  • You must be at least 18 years old and able to enter into a binding contract under Indian law.
  • Information you give us at signup, including business and registration details, must be accurate and kept up to date.
  • The Clinic decides who its authorised users are and what role each one has, and is responsible for their actions in the workspace.
  • Keep passwords and sign-in credentials confidential. Tell us promptly if you suspect an account has been compromised.
  • Clinicians using MediCRM to record consultations or issue prescriptions must hold a valid registration with the National Medical Commission or the relevant State Medical Council.

5. Subscriptions, fees & taxes

  • Fees are as set out in the plan or order form the Clinic accepts, and are payable in advance for each billing period unless agreed otherwise.
  • Fees are exclusive of GST and other applicable taxes, which are charged in addition.
  • Payments are processed by third-party payment gateways. We do not store full card numbers.
  • If fees remain unpaid after the due date and a reminder, we may suspend access to the workspace until they are paid. Customer data is not deleted because of a suspension for non-payment.
  • Except where required by law or stated in an order form, fees already paid are non-refundable.

6. Clinical responsibility

MediCRM is a record-keeping and workflow tool. It does not practise medicine, and it is not a substitute for the professional judgement of a qualified clinician.

  • Diagnosis, treatment, and prescribing decisions remain the sole responsibility of the treating clinician.
  • Any clinical assistant, template, or suggestion in MediCRM is decision support only. Clinicians must review and verify anything it produces before relying on it.
  • Prescriptions issued through MediCRM must comply with the Drugs and Cosmetics Act, 1940, the Telemedicine Practice Guidelines, 2020, and other applicable rules.
  • The Clinic is responsible for obtaining patients' informed consent for the collection and use of their data and for any teleconsultation.

7. Your data & privacy

The Clinic owns its customer data. For patient data inside a workspace, the Clinic is the Data Fiduciary and we act as its Data Processor under the Digital Personal Data Protection Act, 2023. We process customer data only to provide, secure, and support the Service, and as the Clinic instructs. We do not sell personal data, and we do not use patient clinical data for advertising or model training.

How we collect, use, store, and protect personal data is described in our Privacy Policy, which forms part of these terms.

8. Acceptable use

You agree not to, and not to let anyone else:

  • use the Service for any unlawful purpose or in breach of any applicable medical, data protection, or consumer law;
  • enter data you have no right to collect or process, or access another clinic's data;
  • attempt to probe, scan, or test the vulnerability of the Service, or bypass its security or access controls, without our written permission;
  • upload malware or interfere with the integrity or performance of the Service;
  • copy, resell, sublicense, or reverse engineer the Service, except where the law expressly allows it;
  • use the Service to send unsolicited or misleading messages to patients.

9. Third-party services

The Service relies on third-party providers for hosting, databases, messaging, email, payments, and similar functions. Where you choose to connect a third-party service, your use of it is also subject to that provider’s terms. We are not responsible for outages or changes in services we do not control, though we choose providers carefully and bind them to confidentiality and security obligations.

10. Intellectual property

The Service, including its software, design, and the MediCRM name and logo, belongs to Bhatti Medtech Private Limited and its licensors. Nothing in these terms transfers any of those rights to you. If you send us feedback or suggestions, we may use them to improve the Service without any obligation to you.

11. Availability & changes

We work to keep the Service available and secure, but we do not guarantee that it will be uninterrupted or error-free. Planned maintenance is scheduled outside clinic hours where practical. We may add, change, or retire features over time; if a change materially reduces what a paid plan includes, we will give reasonable notice.

12. Suspension & termination

  • The Clinic may stop using the Service at any time. The subscription ends at the close of the current billing period unless an order form says otherwise.
  • We may suspend or terminate access if these terms are materially breached, if fees remain unpaid, or if needed to protect the Service, other customers, or patients. Where practical, we will give notice first.
  • When a subscription ends, we provide a reasonable window for the Clinic to export its data. After that, we delete or anonymise the workspace data, subject to legal retention obligations described in the Privacy Policy.

13. Disclaimers

Except as expressly stated in these terms, the Service is provided “as is” and “as available”. To the extent permitted by law, we disclaim all implied warranties, including fitness for a particular purpose. Nothing on this website or in the Service is medical advice.

14. Limitation of liability

To the maximum extent permitted by law, we are not liable for any indirect, incidental, special, or consequential loss, or for loss of profits, revenue, or goodwill, arising out of or in connection with the Service. Our total liability for all claims relating to the Service is limited to the fees the Clinic paid us in the twelve months before the event giving rise to the claim. Nothing in these terms limits liability that cannot be limited under applicable law.

15. Indemnity

The Clinic agrees to indemnify Bhatti Medtech Private Limited against third-party claims arising from the Clinic’s clinical decisions, from customer data it had no right to collect or process, or from its breach of these terms or of applicable law.

16. Governing law & disputes

These terms are governed by the laws of India. We encourage you to raise any dispute with us first through the contact below so we can try to resolve it informally. Any dispute that cannot be resolved this way is subject to the exclusive jurisdiction of the competent courts at Mohali (Sahibzada Ajit Singh Nagar), Punjab, India.

17. Changes to these terms

We may update these terms from time to time. The “Last updated” date at the top of this page always reflects the latest revision. We will give reasonable advance notice of material changes through the application or by email. Continuing to use the Service after changes take effect means you accept the updated terms.

18. Grievances & contact

Complaints about content or conduct on the Service, or about these terms, can be sent to our Grievance Officer at connect@themedicrm.com or +91 90564 12050, or by post to Bhatti Medtech Private Limited, 652, Sunny Enclave, Sector 124, Kharar, SAS Nagar, Punjab, India. We acknowledge complaints within 7 business days and aim to resolve them within 30 days. For anything else, see our contact page.
